How to Scan a Receipt: Tips for Crumpled, Faded and Long Receipts

A receipt scans best when it lies flat, is evenly lit and is fully in the picture – and for long receipts, in several overlapping photos. If the receipt also exists as a QR eReceipt or PDF, use that instead: digital receipts don't have to be read from a photo first.

How do you photograph a receipt properly?

  1. Dark, matte surface. A white receipt on a dark table stands out clearly. Shiny surfaces reflect.
  2. Even light. Daylight or a bright ceiling lamp. Avoid hard shadows from your hand or phone, and skip the flash, which often leaves a bright spot on thermal paper.
  3. From above, straight. Hold the phone parallel to the receipt. Tilted photos distort the columns, and prices slip into the wrong line.
  4. The whole receipt in the picture. Shop name at the top, total at the bottom. If the header is missing, the shop and date are often missing too.
  5. Focus. Tap on the receipt before you shoot and hold still for a moment.

What helps with crumpled or folded receipts?

Smooth the receipt with the edge of your hand before you photograph it. Creases cast shadows that text recognition can mistake for strokes or digits. A book or a pane of glass on top helps if it keeps curling up – with glass, watch for reflections.

Ballpoint notes on the receipt are usually no problem, as long as they don't cover prices. On our home page you can see real crumpled and scribbled-on receipts that were read correctly without any correction.

How do you scan faded receipts?

With pale thermal paper, every bit of contrast counts. A little more light helps; backlight hurts. Some receipts aren't printed in black but in blue or purple – then it can be worth converting the photo to greyscale or raising the contrast in a photo app before you upload it.

How do you scan a very long receipt?

A weekly shop with 40 or 50 items rarely fits sharply into a single photo. Photograph it in several parts from top to bottom and let the parts overlap a little so no line gets lost. Tip: check the total after scanning. If the sum of the lines matches the receipt total, nothing has usually been lost.

Should I use the flash when scanning a receipt?

Better not. On smooth thermal paper the flash often creates a bright spot that washes out exactly the lines you want read. Even room light or daylight usually works better.

How many photos do I need for a long receipt?

As many as it takes for each photo to be sharp and for the parts to overlap a little. For a very long weekly shop that is often two to four. Bonstructer stitches the parts into one receipt automatically.

What do I do if a line was read wrongly?

Is a QR eReceipt better than a photo?
